Enquiries arrive from the website form as e-mails, someone copies them into Pipedrive or HubSpot by hand, a few never get copied, and sales has no idea which campaign the customer came from. We connect your WordPress site or WooCommerce shop directly to the CRM so that every form submission and every order lands there automatically, with source and campaign data attached.

We work with Pipedrive, HubSpot and Scoro. Where a ready-made plugin covers the need, we use it; where it does not, we build a custom integration on the Pipedrive API, HubSpot API or Scoro API. We decide which route to take after reviewing your setup.

What the work includes

  • Forms into the CRM. Submissions from Contact Form 7, Gravity Forms, WPForms or Breakdance forms become persons and organisations in the CRM, plus a lead or deal in the right pipeline and stage.
  • Source and UTM data. Each enquiry carries the page it came from and the utm_source, utm_medium and utm_campaign values, so sales and marketing can see which channels actually produce enquiries.
  • WooCommerce orders and customers. New orders and customers are synced to the CRM: the customer as a person, the order as a deal with its value, products and status.
  • Field mapping. We agree with you which form or order field goes to which CRM field and create custom fields in the CRM where needed.
  • Deduplication. Before creating a contact we look for an existing one by e-mail or phone and update it instead of creating a duplicate.
  • Webhooks or scheduled sync. Forms are sent in real time. For orders we choose between a webhook and a scheduled sync built on Action Scheduler or WP-Cron, depending on volume.
  • Error logging and retry. If the CRM API is temporarily unavailable, the request is queued and retried later. Failures are visible in a log and nothing is lost silently.
  • GDPR consent. The consent checkbox and its timestamp travel to the CRM with the contact, so marketing consent can be proven later.
  • Testing with real submissions. We fill in the forms and place test orders ourselves, then check that the data lands in the right CRM fields.

Typical situations

A service company receives a dozen enquiries a day from a Contact Form 7 form by e-mail and the sales manager types them into Pipedrive, losing the source and campaign along the way. A B2B seller wants WooCommerce orders to appear as deals in HubSpot so that account managers see purchase history in the CRM instead of the shop admin. An agency or consultancy runs projects and invoicing in Scoro and wants enquiries to arrive there directly, without a spreadsheet in between. Or a ready-made plugin is already installed, but it creates a new duplicate contact for every submission and nobody trusts the CRM data any more.

What we need from you

  • WordPress administrator access and, if needed, FTP or SSH.
  • A CRM API key or a user with permission to create contacts and deals (Pipedrive, HubSpot or Scoro).
  • A list of the forms that must reach the CRM and a decision on which pipeline and stage a new enquiry goes into.
  • Confirmation of the field mapping: which data matters to sales and where it belongs in the CRM.
  • A test contact and a test order we can run the integration through.

What is not included

  • Setting up the CRM itself: pipelines, stages, permissions and automations in Pipedrive, HubSpot or Scoro.
  • Two-way sync from the CRM back to WordPress or WooCommerce, and bulk import of historical data, unless agreed separately.
  • Accounting integrations such as SmartAccounts or Merit Aktiva, which are a separate service.
  • Ad conversion measurement such as server-side GA4 and Meta CAPI tracking, and newsletter tool integration.
  • CRM licences and user seats.

Who it suits

It suits a company that already uses Pipedrive, HubSpot or Scoro and whose website or shop produces enquiries or orders that are currently moved across by hand. Frequently asked questions

Do you use a ready-made plugin or build the integration yourselves?

It depends on the case. If a ready-made plugin covers your forms and fields without creating duplicates, we use it; if you need UTM data, WooCommerce order sync or specific logic, we build the integration on the CRM API. We decide during the free review.

Can old enquiries and customers be moved into the CRM as well?

Yes, importing historical data is possible, but it is a separate job and we agree its scope separately. The standard integration covers new enquiries and orders from the moment it goes live.

What happens if the CRM is unavailable for a moment?

The enquiry is not lost. It is queued and retried, and failed attempts are visible in a log. The form's e-mail notification still reaches you as usual.

How much does the integration cost and how quickly is it ready?

We start with a free review and estimate, and we bill by actual time spent. Connecting one or two forms to Pipedrive or HubSpot is usually ready within a few working days; syncing WooCommerce orders takes longer.

Does the integration also work with Scoro?

Yes. The Scoro API lets us create contacts, quotes and projects, and we map with you where your enquiries belong in Scoro. The approach is the same as with Pipedrive or HubSpot.
