Business Central and WooCommerce integration

If your accounting and stock live in Microsoft Dynamics 365 Business Central but your web shop runs separately on WooCommerce, someone ends up copying orders and stock levels by hand. It is slow, it causes mistakes, and the shop can sell items that are no longer in the warehouse.

We build the connection between WooCommerce and Business Central so data moves in the right direction on its own. The result is a shop whose prices and stock come from the ERP, and whose orders arrive there as a sales order or invoice.

What the work includes

  • Connection through API v2.0. We use the standard Business Central API v2.0 and, where it does not expose a needed field, OData web services.
  • OAuth 2.0 authentication. We set up the Microsoft Entra ID app registration, permissions and token refresh, so no passwords are stored in plain view on the site.
  • Items and prices. Items, descriptions and sales prices are transferred from Business Central to WooCommerce. The direction and field mapping are agreed before we start.
  • Inventory. Stock levels are refreshed in the shop on a schedule, so sold-out items stop being orderable.
  • Customers. A customer who orders in the shop is matched or created in Business Central, so the order lands on the right customer card.
  • Orders and invoices. A paid WooCommerce order is sent to Business Central as a sales order or a sales invoice, depending on your process.
  • Queue and retries. Orders are not lost when Business Central is briefly unreachable: sending goes through a queue and failed attempts are retried.
  • Logging. You can see in the admin what was synchronised and when, what failed, and re-send a failed item.

Cloud and on-premises

Business Central Online (SaaS) uses Microsoft cloud endpoints and Entra ID authentication. With an on-premises installation, access depends on whether the service is reachable from the internet or the link has to go through a VPN or an intermediate layer. We check this at the first meeting, because it affects the solution more than the WooCommerce side does.

What we need from you

  • Access to a Business Central environment (a sandbox is best) and the right to register an app in Entra ID, or the contact of the IT partner who does it.
  • A description of which data moves in which direction, and how an order becomes an invoice in your process.
  • Administrator access to WordPress and WooCommerce, and the option to take a backup before changes.

What is not included

  • Configuring Business Central itself, extensions and AL development.
  • Cleaning data inside the ERP, such as missing item descriptions or wrong stock codes.
  • Shop speed and design work; for speed see speed optimisation.

Frequently asked questions

Does the integration work with both cloud and on-premises Business Central?

Yes, but the connection differs. The cloud version uses Microsoft endpoints and Entra ID authentication; for on-premises we first work out how the service is made reachable from outside.

Do products and stock go from the ERP to the shop or the other way round?

Usually Business Central is the source: items, prices and stock go to the shop and orders go back to the ERP. We agree the exact direction and fields before work starts.

What happens if Business Central is unavailable for a while?

Orders are not lost: they wait in a queue and sending is retried. Every attempt and error is logged, so a failed order can be re-sent manually.

How much does it cost and how long does it take?

Have you done Business Central projects before?

We do not claim that. We have worked with Erply and Directo and with API-based ERP integrations in general, and the Business Central API v2.0 is a documented standard interface that we assess before starting.
